Did 9-11 Change Everything for the Business Community

For the business community 9-11 changed everything. In our company, we are in the cleaning business and after 9-11 we saw 62.6% decrease in weekend call ins for washing services at office buildings and a nearly same number of residential call ins. We believe this is partly due to adverse weather but as last years information shows it cannot be more than 20%. Last year that period was down 11.45% and then in the first 3 quarters of 2001 it picked up. We believe because all the phone companies with cellular started offering free weekend minutes so people decided to call us since we are probably on their speed dials for their cell phones. That increase was 4.1 %. Weather last year during this period was light, the previous year lighter and the year before that hectic. This year’s winter is a medium plus year for rain and snow days.

Luckily fuel prices are down so heating was not too bad on the residence of this continent. The only thing we can say for sure is fewer people are working weekends, and since the economy is slow they can justify taking the weekend off due to fewer customers everywhere exception Wal*Mart. With fewer people working there is less productivity, less spending and therefore less money to be spent and less calls on weekend. Why? Two fold. One the economy has shrunk in output and speed of transactions. Causing havoc on money flows to all people artificially shrinking money supply to the average participant in the US monetary system. Why? First there is less of a perceived need to work weekends if the TV says we may all be killed by terrorists. In actuality only 3000 people died in terrorist acts of 9-11. That is insignificant as a percentage of population of 300 plus million Americans and Illegal aliens living in the boundaries of our state. Horrible yes, insignificant also yes. This is not to say that we should not protect our people, we definitely should. It is the job of government, our government to do so.

That is in our constitution. But we may not fully be protecting our people if we are terrorizing them ourselves through negative media, scare tactics and other propaganda. Yes we need a strong military, but should we be hurting ourselves and our strong American pride and psyche to do it? No, it is that pride and stick-to-it-ness that built this great nation and we cannot sacrifice it now. So now that Americans have taken off 21 weekends in a row, or at least tried to, it has become habit. Knowing by scientific studies that it takes 21 days to form a habit if it is to stick. So Americans will not go back to work on weekends and our nations productivity is now that of the lesser. So what do we do with our time? Well, if we do not keep the minds and bodies of America busy on something they will take to stupid things, like politics, and supreme sports where people are hurt, killed or die. Boxing, race cars, whatever. They will need to be entertained. If we look at other periods of times, there were gladiators, the Mayans had the great events where one opposing team had to be totally killed to win, we fed Christians to the lions, and there were public executions.

Even in this day that has occurred to keep people entertained. Remember the Taliban and public executions? Of course they got a double whammy because they also used it to manipulate and control. Mike Tison bit some ones ear, Daytona 500 this last weekend wrecked half of the cars. The fans, loved it and can talk about it for the next year. When Dale Earnhardt died the sport increased, like hitting the afterburners on an F-15. Look at it today? If you are not in NASCAR you are not real. Even Kmart had to stay in the race after their bankruptcy. If they take out their race team they are dead for sure. Right now they are only in bankruptcy, no big deal. But if they stop the NASCAR circuit their fans numbering in the 35 million range will never forgive them. The US NAVY needs their own race team, you want the top dogs to sign up for the service? Tell them on the track. It is all about recruitment and for gods sake hire the best drivers. Why not have the F-18s from the Blue Angles fly by every race too. Shows support and also safety to promote tourism to those areas hosting such events. Gets people out of their houses to enjoy stuff too. Controlled chaos sporting events keep people busy and give them something to talk about too. In America we have economic enslavement, that is why everyone was working at redline speed in the last economic boom period, yet really made less money to spend during that time.

With 12-18% of their monies on average going to pay off credit card debt they really did not get ahead. Housing did well due to low down payment requirements for single and multifamily dwellings but really only added to the average families debt. Of course everyone with a job bought several new cars and even more debt. Americas personal income, real income after expenses decreased yet they worked so hard to keep up with the Jones’. We taught Americans that no matter how hard you work, you really do not get anywhere, so why not work less and spend time with your family more since you are so far in debt already and you might be blown up by a terrorist. And how could any American forget that message as it is blaring on the TV set 24/7. TV may have become the escape, but it cannot play good guy and bad guy on the same show. Although they try. So as America gets bored with the TV set but still checks in to see if anything new has developed since their overnight sleep or long day at work plus traffic, they tune in to watched and get caught up in the latest BS and controversy over nothing really. Liberals fighting the conservatives on various issues, which have been going on since the beginning of time. Fighting in the middle east, same amount of time. After all Civilization is a compound word and oxymoron that has not really changed, sure we have better delivery of information about the controversies but it is all the same really. Occasionally a new twist, but in deeper probing really the same. So we have ruled Americans by fear, economic enslavement and a few combinations there of. We did not start the fire, it has been burning since the world has been turning (Billy Joel). So how do we control 300 million people who are now having time to think?

Right now they are stressed and learning to deal with it. Their brains and bodies are depleting vitamins and using up protein. Eventually they will become numb to all of this and start thinking again. They will eventually come to the realization that all this is pure hooey. Question is will this lead them to want to get their cars washed. Yes and no. Yes because they will feel stupid for driving a dirty car since they enjoy driving a clean one. It is that good clean car feeling people like, that is 45% of why they get a car washed. Other reasons of the pie include, respect from fellow man, rationalization that the cars paint job will last, resale value, image control and being able to see out the windows. But alas we cannot continue to run our business by letting the phone ring and if we want to dominate this residential market sector and take it from our competitors since they are not giving it to us of their own free will. We will have to fight for this market share, strategize and eventually as always win it, all of it. What does America need to get back to normal? Well people need to satisfy their innate needs to have control over their destiny and live without all that fear. Fear causes lack of innovation. This is why scientists motivated by force or death of loved ones cannot keep up with free scientists of the West in efforts to build weapons and create innovation. Once the fear is gone they can do just fine.

Reward systems in Germany and Russia worked for this. Hell they gave as many metals of honor as awards to warriors as proclamations of acclaim to managers of their systems, architects and scientists and the like. You get to help with the Nationalistic System and therefore are rewarded and highly regarded by peers. But straight fear will not work. If we continually allow our citizenry to live in fear we will lose to world markets due to lack of substantial innovations. With this fear we eliminate the weakest of the innovation chain, which in total is less than 5% of the population.

So if we take away half of the brilliant minds due to a fear induced brain fart we are left with 2.5% of the innovators. What if half of all we have now was never invented? What type of world would that be? Think about what we cannot live without these days. Imagine, knowing that necessity is the mother of invention, so maybe only 15% of the things we live with that increase quality of life were not invented. Little things, not like a windshield wiper on a car, that would have been invented eventually and we would have it. But other important things, micro devices, caller ID, reflectors on the side of the road to warn drivers of the edge. Carbon Graphite products for sport uses, golf clubs, racket ball, tennis, bicycling, skiing, etc. Bullet proof vests for police men with Kevlar. Special toilet paper that decomposes quickly in water for help with sewer treatment plants. Voice Activated software, fax machines. Bar coding equipment, etc. Think about how these small things changed our lives.

Only a few inventions, but changed our lives forever. Can you do without a fax machine? Remote control for your TV? Think. But first clear your mind of fear. We have nothing to fear except that which fear causes. It is the cause of prejudice. It causes hate, aggression, it causes problems. It is innate, we cannot stop it, except with drugs which cause side affects. Some fear is good, such as to keep people in religion so they try to love thy neighbor for fear of god or a hell type situation, respect laws because of fear of punishment. But fear of unknown is fear of the inevitable, it is fear of change and not real like things like fear of heights. We need to admit there is fear and reduce the unnecessary fears caused by media that have caused incorrect behavior that contradicts our system of trade and values in America. Look at the movies we have today at the box office. John Q by Denzel Washington in an HMO setting, something we all hate and a fear to great like that of losing a child, many of us would rather die ourselves. Denzel is able to overcome the situation and save his child. Take control. Of course right now all Americans feel like we have no control at all. We are counting on the government to protect us, yet it is the same government who caused the terrorist acts. Not in a sense of actually doing the deed of course, but in not defending us against and known threat.

Their number one job was to protect us and they failed and now all people of this country are living in fear. This is why Rocky was such a smash originally. Look at Bruce Willis’ new movie where he over comes the Germans in the war prison camp. What irony, when all Americans feel trapped. Perfect timing to sell out at the box office. Fear causes rage. Denzel Washington solves his personal and life threatening problem, he is bent on rage, the same rage that resides in all of Americans over this terrorist act. The are mad, even though some say they are Christians and are told not to be so angry that god will judge. Yet they all know they are mad as hell and bent on rage and they want revenge even though they cannot say it politically. Yet many will say it openly and every one is feeling it. So where do we place all these energies we have? Well we cannot place it at the work, because no one wants to work extra. We have noticed fewer and fewer calls to Corporate from other businesses on Mondays and Fridays. Why? Because people are thinking weekend sooner on Thursdays and they call a lot on Thursdays because in their minds everything needs to get done before the weekend. So maybe we should make Fridays a weekend too since fewer people are working and no one ever calls you back and everything is put off until Monday but of course no one really mentally starts work to any large degree until Tuesday. So we now have complete productivity on Tuesday to Thursday except at 10 minutes to 5 pm.

Everyone is already mentally in their car and on their way home. Good luck finding any real service at 10 minutes to closing anymore, not since 9-11. They say there are more important things in life like family. Oh really that is a switch. Did not use to be that way before 9-11. What changed? 3000 people died. That is not significant in real numbers only in the overblown media. Don’t get me wrong the attack was a wake up call. But who kept hitting the snooze button, nothing has changed, it always has been that way, we just needed to open our eyes. We paid countless earnings in taxes for protection, the only real need of government, they took the money many times by force, yet failed to deliver. Safety is our concern especially from foreign threats. We know things change and that innovation also has a price for instance the textile business and the looms, telephone operators with the automatic-switching units. Globalitization is changing things.

Many jobs are no longer needed anymore. We need to get use to that. These people out of work are not needed so if their answer to the question is to work less and spend time with family then that is good. A good thing in deed, better kids learning more from parents and thus not destined to make all the mistakes that their parents did, sure they will still have to repeat many of them because that is just a part of growing up, but with trust back in to the family and close ties we are liable to see many kids learning lessons better without the black listing that occurs from things like drug abuse, drunk driving or teenage pregnancy which hampers young peoples future due to a one time error in judgment or time period in their short lives. It also makes them a little more responsible a little earlier. Well what will the dads do with more time? Mentor kids better, teach them important things, volunteer to coach and or in someway get involved. Society has always had a problem of what to do with their males. Lots of testosterone flowing there. Lots of energy needing to be harvested. Perhaps the old playing catch in the yard, little league, soccer or Pop Warner Football.

Teaching sportsmanship and working hard toward a goal. Perhaps for those not physically endowed to a large degree can go after other goals. We worship the spelling bee contestant who can spell words we never heard of. What about the young computer geniuses, musicians, and astronauts? We do need a mentoring program as the President said. The idea of 4000 selfless hours spreading unity in the world is also to be commended. The Morman church does this with young males going abroad on missions. Also to be noted is their Morman family nights and strong family unity similar to most all Hispanic families. If people are wanting to work less and we now need less workers, then we need to help people occupy their time. Ask not what your country can do for you, but what you can..- .. If we enlist all Americans to build for tomorrow rather than condemn that which is past and we cannot change, then we can make hay our of this terrible situation and fix what we have broken due to our misunderstanding of what people need and want and the fear we have blown out of proportion. If people want more family time, great, then do it with quality and a goal in mind. As long as everyone is brain dead still after 9-11, perhaps we should outline a list and a plan for them to get started on. With such a high Presidential approval rating he should be the one to outline the plan and the First lady to emphasize it on radio.

He should do this now to minimize the nuclear fallout that the liberals are after over this Enron issue. They are on the war path to hurt the administration so they can elect more of their own. Politics need to be set aside and we need to look at America now, and move this thing in the right direction. It is the social changes which will help move the economy to a norm. At the same time we reduce the fear and reward innovation in our society. For the past ten years we have condemned it. We also need to allow funding for Craig McCaws new satellite idea. We learned a lot from iridium and Motorola’s disaster. We can do it right this time and the new technology will unite the world and allow more use of the Internet and destroy repression in countries who enslave people and attack human rights. Communication opened to the world and all participants will make it nearly impossible for evil regimes to reign in foreign lands. You see we have all the necessary tools to use all we have to fix the world and simultaneously fix us here at home. The new technology will provide opportunity. With the Enron debacle there will be less available funding for new innovations at a time when we have less brain power being used for such and at a time when we and the world needs it the most. Imagine opening the Internet to anyone on the planet at any time and anyplace?

The TV set and radio helped break down barriers to allow people human rights. Just like the printing press and newspapers here alerted people of the need to free our selves and make a stand. Think about the works of Benjamin Franklin, Thomas Paine and others, which lead us to make a stand and create the greatest nation in human history. It is information that frees the world. We should remember that if we limit information to ourselves and our people we limit the future and we limit the innovation we will need to take this country and our species to the next level./ What a great time to be alive. We need to fix a few things here as these trends confront themselves. Look around, there is opportunity in Chaos, and we can harvest it, we should start now.

Colts’ Stadium Short on Horse Sense

The predominant discussion in the Indianapolis media over the proposed $500 million Colts stadium is how to fund it, not over the wisdom and propriety of taxpayers going into debt to build it.

Apparently the leaders of both major political parties in Indiana have signed off on the concept, including a poor building design, and are content to confine their discussion to who’s picking up the tab.

Come hell or high water on White River, Indianapolis Mayor Bart Peterson has vowed not to lose the Colts during his administration. His plan in part is to raise $13 million annually through higher car rental, innkeeper and admissions taxes in Marion County, as well as with annual gambling profits of $46 million from 2,500 pull-tab gambling machines in downtown Indianapolis.

Regional Republicans have their own plans to fund a new stadium. Rep. Luke Messer of Shelbyville proposes giving Indianapolis $30 million in annual revenue from 2,500 slot machines at the Hoosier Park and Indiana Downs horse tracks. Marion County GOP chairman and state Rep. Michael Murphy has a similar plan that would divide the slot machine profits differently, giving Indianapolis $48 million annually.

Here are three problems with these major party proposals, besides any issues that readers might have over funding the stadium with gambling profits.

First, they do not address the issue of stadium obsolescence. Taxpayers cannot afford to again let government build a stadium that the NFL outgrows, especially one that is three-times the real cost of the first one. Proponents should guarantee that the stadium will be valuable for 50 years, or promise to indenture the lives of their children and grandchildren at double the rate of our servitude.

Second, their proposals treat businesses unequally. They subsidize rich millionaires at the expense of smaller or more deserving businesses. Likewise, they treat businesses such as the Indianapolis Motor Speedway unfairly by taxing them to underwrite their sports competitor. It’s a slap in the face to the Speedway, which funds itself.

And why should we indenture each Indianapolis citizens with more than $1,000 in debt for eight regular-season football games each year? If gambling revenue projections are not met, are residents of Indianapolis willing to be on the hook for the balance? I’m certainly not.

But here’s the real crux. The RCA Dome is perfectly good as it is, except for one basic flaw. No, the flaw is NOT the size of the Dome. Although it is the smallest in the league at 57,900 seats, the Colts barely sell the Dome out even with ticket prices just below the league’s average of $54.75.

The problem with the RCA Dome stems from how NFL teams share revenue. Owners keep their revenues from private luxury suites. At the Dome, Colts owner Jim Irsay has 104 suites. The league’s most profitable franchise, the Washington Redskins, has 280.

Irsay seeks a stadium with enough suites to give him a shot at a medium profit relative to the rest of the league. He would have already moved his franchise to Los Angeles had that city promised him a stadium with enough suites, which it could not afford to do.

So he and his franchise are leveraging Indianapolis and our state government into building him a stadium by 2008 that merely gives him more profit potential. Ironically, Irsay’s best selling point is that he will not also hold the city hostage by making it guarantee that the suites it builds him will be sold. Huh? Until then, the city expects to pay him at least $36 million to keep the Colts in town.

Compare this to the real costs of a new stadium. Its $500 million price tag can triple by the time its bond is paid. For the 400 permanent jobs that the stadium creates and the hundred or so new suites that are created, that amounts to a public investment of over $1 million per job and $3 million per luxury suite. Plus, we will build a stadium with no more capacity than the original Hoosier Dome and, from the looks of the design, one with lousy viewing for NCAA basketball.

That’s maddening. Our elected officials are about to build another obsolete stadium with limited capacity, a poor configuration and an exorbitant price tag. They will again saddle us with public debt that is tall on political horseplay and short on horse sense.

How Do You Habitually Treat Yourself?

In order to learn how to relieve ourselves of self-defeating
patterns, the obvious first step is to become aware of what
these patterns are.

The easiest way to do this is simply to become a casual
observer of your own behavior and to take stock of how you
treat yourself. Note both the negative and the positive
aspects.

Don’t make a big chore of this. Simply intend to “hear”
what you tell yourself as you go about your business.
Notice how you “look” at yourself. Do you ever smile at
yourself in the mirror? Do you ever greet yourself as
someone you’re glad to see?

After you’ve monitored yourself for a day or two, ask
yourself which one of these categories you fall into.

1) You always look at yourself with a hypercritical eye and
you often mentally refer to yourself as stupid, lazy,
clumsy, ugly, gross, or other demeaning terms.

You constantly require outside validation in order to feel
even halfway decent about yourself.

2) You maintain a “neutral” approach to your own person,
hardly even noticing anything in particular about yourself.
You just take yourself, your appearance, and your
performance for granted.

It’s almost as if you were a non-entity whose job it is to
just keep showing up, but you certainly don’t take any real
pleasure in your own company. You base your worth primarily
on how others react to you.

3) You make a point of it to treat yourself with the utmost
respect. You speak to yourself in only the most courteous
and encouraging tones. You actively note and register
appreciation for your most likeable qualities and you enjoy
your own company. You maintain this outlook despite what
others’ opinions of you may be. After all, it is your
opinion and validation that matter to you most.

Clearly, this last option is what we are striving for.
Contrary to what some may think, this is not vanity or
egotism. It is self-affirmation. It is creating a friendly
“alliance” with someone who will be with you the rest of
your days.

Other people come and go, and among the ones who stay, they
are primarily focused on their own lives.

It is no one’s responsibility but your own to validate your
existence. You are the only one who can provide yourself
with the constant, abiding, unconditional acceptance that we
all crave.

~ Tips for Improvement ~

Tip #1 - Every time you look in the mirror, look yourself in
the eye. Stay there, don’t look away. (Some people have
trouble doing even this much.) Now, smile at yourself with
just your eyes, nothing phony.

Acknowledge the face in the glass as a dear friend, whose
opinion you admire, whose support you feel privileged to
have. THIS is the person you most want on your side. Not
the big “they” out there, as in “What will ‘they’ think?”
It is now: “What do YOU think, my dear friend in the looking
glass?”

Tip #2 - Immediately drop any negative, hateful or
belittling remarks to yourself. This includes any unspoken
comments.

For example, do you ever look at yourself in the mirror and
groan? I’m sorry, but I must tell you that this is just
plain rude! How do you think you would react if someone
else did that to you? Wouldn’t you be insulted and hurt and
just a little appalled at that person’s bad manners?

And would it ever occur to you to treat one of your friends
that way? You wouldn’t do it! You would realize how unkind
and tactless such a reaction would be. You would probably
look at your friend with compassionate concern. You might
wonder if he is sick or if he’s been getting enough rest,
but you certainly wouldn’t look at him and say, “Ugh!”

So why is it that people let themselves get away with
treating themselves so shabbily? Perhaps no one has ever
pointed this out to you before. Or maybe you have never
given yourself permission to treat yourself gently before.

Now that you’ve been made aware of this, I trust you will
find it easy and highly desirable to make these simple
changes. And these two changes alone will result in some
profound internal shifts.

So the new order of the day is this: If it’s not something
that you would say or do to a cherished friend, then you do
not say or do it to yourself, period.

I hope that you will give these techniques a serious workout .
Your emotional well-being is well worth the effort. It is the
foundation upon which all else will be built.

The Inverted Saint - Hitler

Hitler and Nazism are often portrayed as an apocalyptic and seismic break with European history. Yet the truth is that they were the culmination and reification of European history in the 19th century. Europe’s annals of colonialism have prepared it for the range of phenomena associated with the Nazi regime - from industrial murder to racial theories, from slave labour to the forcible annexation of territory.

Germany was a colonial power no different to murderous Belgium or Britain. What set it apart is that it directed its colonial attentions at the heartland of Europe - rather than at Africa or Asia. Both World Wars were colonial wars fought on European soil. Moreover, Nazi Germany innovated by applying prevailing racial theories (usually reserved to non-whites) to the white race itself. It started with the Jews - a non-controversial proposition - but then expanded them to include “east European” whites, such as the Poles and the Russians.

Germany was not alone in its malignant nationalism. The far right in France was as pernicious. Nazism - and Fascism - were world ideologies, adopted enthusiastically in places as diverse as Iraq, Egypt, Norway, Latin America, and Britain. At the end of the 1930’s, liberal capitalism, communism, and fascism (and its mutations) were locked in mortal battle of ideologies. Hitler’s mistake was to delusionally believe in the affinity between capitalism and Nazism - an affinity enhanced, to his mind, by Germany’s corporatism and by the existence of a common enemy: global communism.

Colonialism always had discernible religious overtones and often collaborated with missionary religion. “The White Man’s burden” of civilizing the “savages” was widely perceived as ordained by God. The church was the extension of the colonial power’s army and trading companies.

It is no wonder that Hitler’s lebensraum colonial movement - Nazism - possessed all the hallmarks of an institutional religion: priesthood, rites, rituals, temples, worship, catechism, mythology. Hitler was this religion’s ascetic saint. He monastically denied himself earthly pleasures (or so he claimed) in order to be able to dedicate himself fully to his calling. Hitler was a monstrously inverted Jesus, sacrificing his life and denying himself so that (Aryan) humanity should benefit. By surpassing and suppressing his humanity, Hitler became a distorted version of Nietzsche’s “superman”.

But being a-human or super-human also means being a-sexual and a-moral. In this restricted sense, Hitler was a post-modernist and a moral relativist. He projected to the masses an androgynous figure and enhanced it by fostering the adoration of nudity and all things “natural”. But what Nazism referred to as “nature” was not natural at all.

It was an aesthetic of decadence and evil (though it was not perceived this way by the Nazis), carefully orchestrated, and artificial. Nazism was about reproduced copies, not about originals. It was about the manipulation of symbols - not about veritable atavism.

In short: Nazism was about theatre, not about life. To enjoy the spectacle (and be subsumed by it), Nazism demanded the suspension of judgment, depersonalization, and de-realization. Catharsis was tantamount, in Nazi dramaturgy, to self-annulment. Nazism was nihilistic not only operationally, or ideologically. Its very language and narratives were nihilistic. Nazism was conspicuous nihilism - and Hitler served as a role model, annihilating Hitler the Man, only to re-appear as Hitler the stychia.

What was the role of the Jews in all this?

Nazism posed as a rebellion against the “old ways” - against the hegemonic culture, the upper classes, the established religions, the superpowers, the European order. The Nazis borrowed the Leninist vocabulary and assimilated it effectively. Hitler and the Nazis were an adolescent movement, a reaction to narcissistic injuries inflicted upon a narcissistic (and rather psychopathic) toddler nation-state. Hitler himself was a malignant narcissist, as Fromm correctly noted.

The Jews constituted a perfect, easily identifiable, embodiment of all that was “wrong” with Europe. They were an old nation, they were eerily disembodied (without a territory), they were cosmopolitan, they were part of the establishment, they were “decadent”, they were hated on religious and socio-economic grounds (see Goldhagen’s “Hitler’s Willing Executioners”), they were different, they were narcissistic (felt and acted as morally superior), they were everywhere, they were defenseless, they were credulous, they were adaptable (and thus could be co-opted to collaborate in their own destruction). They were the perfect hated father figure and parricide was in fashion.

This is precisely the source of the fascination with Hitler. He was an inverted human. His unconscious was his conscious. He acted out our most repressed drives, fantasies, and wishes. He provides us with a glimpse of the horrors that lie beneath the veneer, the barbarians at our personal gates, and what it was like before we invented civilization. Hitler forced us all through a time warp and many did not emerge. He was not the devil. He was one of us. He was what Arendt aptly called the banality of evil. Just an ordinary, mentally disturbed, failure, a member of a mentally disturbed and failing nation, who lived through disturbed and failing times. He was the perfect mirror, a channel, a voice, and the very depth of our souls.

How to Run a Successful Conference Call

These days with more and more of us working from home, working on the road, and generally dealing with multiple suppliers, contractors and business partners in locations all over the world, the conference call is supplanting the face-to-face meeting. Here are some tips on getting the most out of your conference call…

Tip One: Send Out an Agenda

The key to an effective meeting is an agenda - this applies to any kind of meeting, not just a conference call. With a conference call, always make sure you have the instructions on how to access the conference call at the top of the agenda, preferably in a box or with some other text decoration to make it stand out.

Another option is to send a meeting request from within your calendar application, whether it be Microsoft Outlook or Apple’s iCal, or some other scheduling tool. The meeting request is sent as a specially formatted email, so you can add attachments just like with a regular email. Attach the agenda, and repeat the instructions on how to connect to the conference call in the body of the email.

Most conference service providers require participants to dial a special number (which may be different depending on where the user is, or it may be a national number), then enter a conference “room” number, followed by a security code or PIN. Make sure all the necessary details are included on the agenda and the meeting request.

If the conference call is a regular status update, ensure you also send out the meeting notes from the previous call, since the first item on the agenda should be chasing people up for the actions they’ve agreed to be responsible for.

Tip Two: Take Care of Housekeeping

At the beginning of the call, call off the roll and ensure everyone is on the call. Introduce any newcomers to the rest of the group and invite them to spend a couple of minutes describing themselves and their role on the call. If anyone is missing from the participants list, immediately call them (preferably on their mobile) to get them onto the call as soon as possible. If they can’t get on the call within a couple of minutes, proceed without them. Nothing detracts from a good conference call more than making everyone wait at the beginning.

Next, ensure everyone has a copy of the agenda, and that they can all hear one another OK. If you are not going to be the one taking notes, make sure everyone is clear who is. This serves two benefits: firstly, the person taking notes is going to be careful and accountable, and secondly, a single set of meeting notes will be distributed after the call. If this is not made clear, you may end up with several versions, which is both redundant and confusing.

Finally, lay out the rules for interaction on the call. Because it’s audio-only, the usual cues we use to indicate that we wish to take a turn at speaking are not present. Therefore it’s worth stating at the outset what the rules will be. These can be as simple as “Please make a note of any questions and we’ll deal with them in turn after each agenda point”, or as sophisticated as listing the order of speaking of the participants, and asking each participant only to speak at their particular time. This last is called “round table” conferencing, and is particularly effective once people are used to it. It has the dual effect of keeping all participants engaged, and speeding up the time it takes to get through each point.

Clearly it’s unrealistic to expect people to stick to the interaction rules for the duration of the call, but laying them out at the outset will help ensure things run quickly and smoothly.

Tip Three: Turn Off Speakerphone

Unless you have a majority of participants all in one room together, you should turn off speakerphone. Speakerphone and conference calls are a bad combination, unless you have a high-quality dedicated speakerphone. In order to prevent audio feedback, speakerphones automatically mute the speaker when a sufficiently loud sound is heard at the microphone. Unfortunately, few speakerphones do this particularly well, and often the speaker will mute because of its own output feeding back into the microphone. This means annoying dropouts and missed words and sentences.

Because it’s a conference call, often these dropouts can go on for some minutes before someone has the opportunity to pipe up with “We missed all that!” Needless to say, having to constantly repeat yourself can be very time consuming and irritating for all the non-speakerphone participants.

Even if you’re in the same room as someone else, it can sometimes be an improvement to use two handsets rather than use speakerphone.

Tip Four: Send Out Meeting Notes

You should ensure everyone on the conference call gets a copy of the meeting notes no later than the following morning, while the call is still fresh in everyone’s minds.

There are many helpful guides on the web for effective note-taking, but in essence:

  • Don’t try to write down absolutely everything; just the items where an action needs to be taken
  • Keep track of who has agreed to be responsible for each action
  • Keep track of the deadlines for each action item
  • Don’t forget to note the time and date of the meeting and who was present

If the conference call is a regular status update, ensure you note in the meeting notes the time and date of the next meeting. If possible, deadlines for action items should correspond to the dates of status meetings so that the notes can be quickly scanned (or even sorted) for items that need to be chased up in a given meeting.

Tip Five: Keep it Brief

Studies have shown that people start to suffer a number of unpleasant side-effects after holding a telephone receiver to their ear for longer than about an hour. In any event, forty minutes is about the limit of most people’s concentration span.

If you find the call is starting to drag on beyond an hour, it’s a good idea to wrap things up and continue either later that day, or preferably the following day. If you find this is a regular occurrence, it may be an indicator that you need to revisit the agenda, or possibly split the group up into separate, more focussed groups. A particular time-waster is having engineers and businesspeople on the same conference call. A better way to handle this is to have three shorter meetings - one with just the engineers, one with the businesspeople, and one with single representatives from each group to present the results and take any feedback to the next department meeting. With practice, you can keep the length of each meeting down to around twenty minutes.
